The 2021-22 Admission Strategy: A Technical Deep Dive

In the competitive landscape of engineering admissions, “business as usual” rarely moves the needle. When I sat down with the officials at Toms College of Engineering and Polytechnic for our initial 2021 strategy meeting, the challenge was clear: we needed a way to break through the noise of traditional ads and create a high-engagement funnel that felt less like a form and more like a conversation.

As a full-stack marketer, I knew that simply driving traffic to a landing page wouldn’t cut it for the volume they needed. We needed a Full-Stack Ecosystem—a mix of high-intent lead magnets, automated conversational tech, and a rigorous WhatsApp approval process.

The Strategy: Gamified Conversational Marketing

The core idea was the “Admission Scholarship Quiz.” Instead of asking for data upfront, we offered value (the quiz) and rewards (scholarship potential).

During our internal team discussions, I sat with our content creators and a long-time web development partner I brought in specifically for this build. My brief to them was simple: “The user shouldn’t feel they are being marketed to. They should feel they are participating in a challenge.”

Co-Creating the "Landbot" Quiz

Working with my web developer, we chose Landbot.io for its robust visual logic builder. I didn’t want a static bot; I wanted a branching logic system that could handle thousands of concurrent hits without lag.

We spent nights mapping out the decision tree. If a student chose “Civil Engineering,” the quiz would adapt to their interest. My developer handled the API hooks, ensuring that every answer was piped into our database in real-time. This wasn’t just a “form”; it was a bespoke piece of software tailored for the college’s admission criteria.

The 45-Day WATI & Meta Approval Marathon

One of the biggest technical hurdles in this project was the WhatsApp integration. To scale to 15,000+ leads, we couldn’t use standard WhatsApp Business apps. We needed the WATI (WhatsApp Business API).

The industry knows that Meta (then Facebook) is notoriously strict with template approvals. I managed the entire process of template submission and WhatsApp Business Account (WABA) verification.

  • The Challenge: Getting highly specific promotional and utility templates approved by Meta’s automated and manual review systems.
  • The Result: After 45 days of back-and-forth documentation and technical adjustments, we secured the approvals. This allowed us to trigger automated messages to every quiz participant the moment they completed the last question.

Launching the Meta Campaign

With the tech stack locked, I moved into the “Performance Marketing” phase. We ran a heavy Meta Ads campaign targeting 17-19 year-olds and their parents across specific geographic clusters.

The creative team developed high-energy videos and banners that redirected traffic straight into our Landbot environment. Because we were using a chatbot instead of a slow-loading website, our bounce rates were exceptionally low. The “friction” of filling out a form was replaced by the “fun” of a quiz.

The Results: Hyper-Efficient Lead Generation

The campaign ran for one month. The numbers that came back were, frankly, staggering for the budget allocated.
